Acicis Deputy Resident Director

A position has become available within Acicis for a Deputy Resident Director for Acicis’ Indonesia programs. Working with Acicis’ Resident Director, this staff member will play a key role in supporting the day-to-day running of Acicis’ operations in Indonesia, across all programs, at a senior level.  The ideal candidate will possess postgraduate qualifications (preferably a Doctorate) from a recognised Indonesian or Australian university, detailed knowledge of the Australian and Indonesian higher education environment and demonstrated program management and leadership experience.

About the Australian Consortium for ‘In-Country’ Indonesian Studies (Acicis)

Acicis is an innovative, non-profit, international educational consortium that was established in 1994 to develop and coordinate high-quality, semester-long study programs at Indonesian partner universities for Australian university students. Today Acicis offers a variety of study options in Indonesia and is also open to non-Australians and private individuals. Acicis currently has 19 Australian and international member universities and is coordinated by a secretariat based at The University of Western Australia, Perth, and an Indonesian main office in Yogyakarta, with an operational office in Jakarta.

Position Summary

Title                       : Deputy Resident Director (DRD)

Reports to           : Acicis’ Resident Director (RD)

Location               : Acicis’ Jakarta Office (occasional travel to other Acicis program locations within Indonesia)

Duration              : One year with possibility of extension

Supervision        : Direct supervisory responsibility for two staff members: one Program Manager, and one Program Coordinator

Position Description

The DRD serves as the deputy lead for Acicis’ operations in Indonesia and plays a key role in supporting the effective delivery and administration of Acicis programs across the country. The position involves responsibilities spanning Acicis’ key program locations in Jakarta and West Java and other locations of interest to Acicis’ operations, with a focus on supporting program management, operational coordination, and staff supervision across these sites.

The role involves working closely with the RD and managerial staff to ensure clear communication, consistent operational practices, and the efficient delivery of program activities across locations. The DRD will contribute to ensuring the smooth day-to-day functioning of programs, maintaining high operational standards, and supporting staff to deliver quality student experiences and program outcomes.

Working through the Program Manager and Program Coordinator structure, the DRD will also hold overall responsibility for ensuring the effective management and operational oversight of a broader team of approximately ten to twelve Program Assistants in Jakarta and West Java.

Core responsibilities of the Deputy Resident Director (DRD)

Duties to be performed by the DRD include, but are not limited to:

  1. Working with the RD, Manager(s), Coordinator(s), Consortium Director and other Perth Secretariat staff in the planning and implementation of all Acicis Indonesia programs;
  2. Working closely with the RD for managing local staff as required for Acicis’ Indonesia programs, including but not limited to: recruitment, supervision, and management of additional personnel including development officers, consultants, contractors, and newly appointed staff members, to ensure effective workforce planning and organisational capacity across Acicis operations in Indonesia;
  3. In collaboration with the RD, the DRD will support the development and maintenance of a high-performing program team by providing guidance on staff supervision, training, professional development, and performance management processes, as required;
  4. Assisting the RD in the preparation of short- and long-term budgets, monitoring Acicis foundations’ accounts and relevant routine and project-specific budgets, and ensuring that expenditure is in line with Consortium and Foundation policies and procedures;
  5. Serving as the Acting Resident Director in the RD’s absence by representing Acicis at functions, meetings with visiting Australian contact persons, host university representatives, and other meetings as required;
  6. Working with the RD to develop and compile an ongoing Standard Operating Procedure (SOP) manual for Acicis’ Indonesia-based staff, and implementing ongoing training workshops as required;
  7. Monitoring and developing internal Monitoring and Evaluation (M&E) processes for Acicis’ Indonesian programs;
  8. Actively monitoring security issues in Jakarta and West Java and other locations of interest to Acicis’ operations, and keeping the RD and Consortium Director informed of any significant developments that could adversely affect student safety. Managing Acicis’ in-country emergency responses as a first point of contact in the RD’s absence, or assisting in a capacity as a deputy head of Acicis in Indonesia;
  9. Assisting students in routine and/or emergency medical or security procedures, and updating Acicis’ Risk Management Guidelines as required;
  10. Assisting the RD with other tasks as they arise, to ensure the smooth running of Acicis’ operations in-country.

Selection Criteria

Essential:

  1. Advanced degree from a recognised university;
  2. Minimum five years’ experience in program management and managing cross-cultural teams, and demonstrated ability to take initiative in program design, implementation and evaluation;
  3. Demonstrated knowledge of the Australian and Indonesian university environment;
  4. Demonstrated ability to work independently and as part of a team to achieve results;
  5. Excellent time management skills with an ability to manage competing demands and priorities;
  6. Experience in managing and monitoring program budgets and financial management;
  7. Experience in mentoring international students and providing pastoral care and support in cross-cultural situations;
  8. Proficiency in using the Microsoft Office Suite, Google applications, cloud services and online platforms (including social media, browsers and communication software);
  9. Excellent networking skills and an ability to represent Acicis at events, media, university and government functions and other related program events;
  10. An ability to communicate with influence and manage external partner relations, in both Indonesian and English (with native or near-native fluency).

Desirable:

  1. PhD in a relevant discipline;
  2. Academic or university administration experience;
  3. Experience in Monitoring and Evaluation (M&E) and running M&E training;
  4. Experience in using Adobe Creative Cloud and other creative software;
  5. Proven track-record in an international organisation.

Remuneration and Period of Employment

  1. This position is offered on a full-time (40 hours per week), Monday – Friday, fixed term basis for a period for one year.
  2. The salary range offered for this position will depend on the applicant’s qualifications and experience.
