FINANCE OFFICER

Job Summary

Madani is looking for a Finance Officer to support the smooth and accountable management of the organization’s day-to-day financial transactions and payment processes.

The Finance Officer will be responsible for administering payment requests, recording financial transactions, managing petty cash, processing incoming and outgoing funds, preparing payment and receipt documentation, and maintaining supporting financial records. The role will also support financial monitoring and ensure that transactions are properly documented and processed in accordance with Madani’s financial procedures and applicable regulations.
The ideal candidate is accurate, organized, detail-oriented and trustworthy with strong financial administration skills and the ability to manage multiple transactions and deadlines effectively.

Key Responsibilities

Payment & Financial Transaction Administration 

  • Verify the accuracy of payment requests and advance accountability documents in accordance with Madani’s financial procedures
  • Record daily financial transactions in the financial logbook
  • Prepare payment schedules and supporting documents for bank payments
  • Verify supporting documents and ensure that financial transactions are properly documented and administered
  • Monitor and follow up on payment-related documentation as required
Bank and Fund Administration 
  • Prepare Bank Receipt Vouchers for funds received into Madani’s Bank accounts
  • Prepare and maintain documentation for cash receipts and cash disbursement
  • Support the administration of incoming and outgoing funds through bank accounts and cash transactions
  • Prepare supporting documents for the opening of petty cash arrangements for new donors when required
Petty Cash Management 
  • Manage day-to-day petty cash transactions for program and office activities
  • Verify supporting documents for petty cash expenditures and staff advances / cash advances
  • Prepare cash receipt and cash disbursement documentation
  • Maintain petty cash records and prepare monthly petty cash reports
  • Prepare payment requests for petty cash replenishment
  • Ensure petty cash transactions are properly recorded, supported and accounted for.
Financial Control & Compliance
  • Review financial transactions and report any indication of discrepancies, irregularities, or potential fraud to Finance Manager
  • Ensure financial transactions are processed in accordance with established financial procedures and applicable regulations
  • Support Finance Manager in maintaining complete and accurate financial documentation
Other Finance Support 
  • Provide administrative support for finance-related activities as directed by Finance Manager
  • Coordinate with internal and external stakeholders, including management, employees, banks, auditors and tax-related parties as required.

Qualifications

  1. Bachelor Degree (S1) in Accounting
  2. Minimum 2 year of experience as Finance Officer or in a similar finance role. Experienced working in a non-profit organization (NGO) and/or a multi-donor environment is an advantage
  3. Good command in English
  4. Good understanding of budgeting and financial planning
  5. Good understanding of applicable Indonesian tax regulations
  6. Good understanding of financial transaction and payment process management
  7. Familiarity with bank transaction and reconciliation-related documentation
  8. Understanding of financial documentation and internal financial controls
  9. Proficiency in Ms. Office, particularly Excel
